Responsibilities

How you will make an impact:  

  • Handle sales and parts orders for timely delivery and customer satisfaction.
  • Manage warranty, service requests, RGAs, and start-ups.
  • Send Notice-to-Owner requests for jobs over $5,000, ensure compliance with state regulations, and request lien releases.
  • Resolve customer inquiries, issues, and complaints.
  • Maintain accurate customer information in CRM systems.
  • Coordinate with sales, marketing, and logistics teams to streamline operations.
  • Manage sales documentation including contracts, invoices, and purchase orders.
  • Resolve customer invoice disputes and receivables backlog with accounting.
  • Set up new vendors and customers in systems.
  • Coordinate with supply chain for product availability and track shipments.

Qualifications

What you bring:

  • Education: a high school diploma or equivalent; an associate's or bachelor's degree in business administration, marketing, or a related field is a plus, additional certifications and qualifications are also a plus
  • Experience: 2+ years of experience in sales support, administration, or a similar role; experience in the HVAC industry is preferred, but is not required
  • Proficiency with Microsoft Office Suite, CRM software, ERP systems, and relevant technical tools.
  • Knowledge of sales processes and customer service principles.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with the ability to prioritize effectively.
  • Diligence and accuracy in order processing and record keeping.
  • Strong customer service skills for prompt issue resolution.
  • Problem-solving ability with effective implementation of solutions.
  • Collaborative attitude and ability to work effectively within a team environment.
